Marketing process
The processes and the activities adopted by marketing
department of Inooga
Solutions as required by quality management system are explained.
1.1 Process overview
This manual defines the marketing activities of Inooga Solutions. Marketing is the front-end department of the
company providing interface between the company and the customer/client. Main
focus of marketing department is to promote the projects, solutions and
Placement and consulting services by the organizations to obtain
orders/contracts, customer feedback, deliver the Projects/Products/Consulting
and coordinate customer complaints resolution. This manual defines the
marketing activities as required by the quality management system and in
accordance to the ISO 9001: 2000.

Marketing process stages
The process stages adopted by
marketing department of Inooga Solutions are mentioned below.
Marketing department shall
formulate the Business Plan on an annual basis inline
with the business targets set by the management. The Business Plan gives the
overall marketing strategy to be adopted in terms of services to be provided.
Based on the Business Plan, the training needs on the
technology related issues domain areas etc. for the marketing personnel are
identified.
2.1 Generating enquiries
Based on the industry segments identified, marketing
personnel identify the prospective clients in each of the assigned area.
The generating enquiries are cold calls, advertisements,
references, tenders, participation in trade fairs or conferences, internet and
e-mail etc.
2.1.1 Maintaining records
of enquiries generated
The respective marketing personnel records all the enquiries
generated by Marketing
Progress Report (QMS-ISPL-MPR). This record
is used for tracking the progress of each enquiry till it is converted into an
order.

2.2 Introduction

Once an
enquiry is generated, marketing personnel either visit the client or send
introductory letters or e-mails to brief the client about the various services
provided by the organization, skills available, and infrastructure facilities
available etc, which are required for demonstrating the organization’s
capability to meet their requirements.

2.3.1 Process overview
During the
introductory visits or discussions, the marketing personnel try to understand
client’s needs in order to decide on an optimum solution inline
with the profile built earlier during the enquiry generation phase. The respective marketing personnel
consolidate the client’s requirements into customer specifications/ scope or
tender, the budget allocation by the customers. Marketing department reviews
the same along with the CEO or CTO/ other technical personnel to identify an optimal
product/project or a customized solution.
Once a
solution is identified, marketing personnel arrange for a demonstration of the
same to the clients if required or the solution evolved is discussed with the
customer.
Based on the
discussions, a modification is made to the customer specifications/ scope and
forwarded to the technical department for preparation of the technical proposal
and in turns forwarded to the marketing department.
In case of
Placement & Consulting the marketing personnel consolidate the client’s
requirements into Resource Request Form (RRF). Marketing personnel review the
same along with the CEO or CTO/ other recruitment personnel to identify an
optimal solution.
Marketing
personnel initiate the RRF to the Placement and Recruitment department to
review the requirements and identify the availability of resources in terms of
people with requisite skills and experience, capable in terms of meeting
schedules etc. as described in Placement and Recruitment process manual.

2.4 Proposal
2.4.1 Process overview
This process ensures that proposals or tender submitted to
customers for projects or for product development (enhancements or new product)
are prepared and reviewed to ensure completeness and correctness.
2.4.2 Preparation of
commercial proposal
After receiving the technical proposal from the technical
department, respective marketing personnel prepare the commercial part as per
the Annexure-A or The proposals are
prepared as per the format provided by the customer/ As per Tender
Document and compile the proposal as
advised by CEO/CTO. The proposal is reviewed using the proposal/ contract
checklist and sent to the client after approval of CEO/CTO.
2.4.3 Review
Marketing
personnel shall review the status of the proposal with the client and clarify the
issues raised by the client. Marketing personnel involve the technical
personnel to clarify the technical issues raised by the client.
CEO/CTO and
the concerned marketing manager review the technical issues raised by the
customer with the concerned technical departments to arrive at alternative
solutions.
2.5 Selection
2.5.1 Placement &
Consulting:
Marketing
personnel co-ordinates with placement and recruitment department to find
suitable profiles as per customer RRF. The profiles
will be sent to the customer for their review and approval for final selection
process.
Marketing
Personnel coordinates with both the Placement and Recruitment department and
client/customers to organize telephonic interviews, video conferencing etc. to
select the candidates for placement. After
final selection by the customer, Marketing Personnel follow up with the
customers and obtain the final selected candidates list.

2.6 Contract
review
2.6.1 Process overview
The
contract review includes review of the customer requirements and capability of
the organization to meet the customer requirements.
CEO
ensures that the customer requirements are properly understood and the
organization has the capability to meet customer requirements.
If
customer requires project /product prototype, marketing
department requests to technical department for prototype of the project
/product.
Marketing personnel presents the proto type along with the
technical person and ensure the customer satisfaction.
On
completion of preparation of proposal or
receipt of detailed order from the customer, the
CEO
ensures that all the proposals/ contracts are reviewed for the following issues
with the concerned marketing personnel where this is achieved as described
below:
Concerned
marketing personnel review the details addressed in the proposal/ order
received to ensure that the following details are recorded in the contract or
proposal using a proposal/ contract checklist.

between proposal and order are identified and resolved as.

In all
cases the contracts are mutually agreed and signed by the customer and
organization.
On
receipt of order from the customer, a work order form is raised on CTO giving
the details of service to be provided to the customer along with a copy of the
contract, a copy of the specification (if any) given by the customer and any
other information required for the execution.
CTO
reviews the same assigns a team and forwards the same to PM for initiating
required action like estimating planned dates for the deliverables and
milestones. PM records the details in the report. Original report is sent back
to marketing personnel for sending confirmation to the customer.
2.6.2 Amendments to the
contracts
Whenever
amendments are required in the contracts in terms of technical or commercial
issues, all the parties involved review the same as per the amendment procedure
accepted contractually.
All
such amendments are properly identified and signed by the customer and the
organization.
All
these amendments are stored along with the original contracts.
2.7 Contracts
2.7.1 Process overview
Placement and consulting
After
receiving the final list from the customer, respective marketing personnel
prepare the commercial agreement as advised by CEO/CTO and sent to the client
after approval of CEO/CTO.
Customer
may communicate the acceptance of the agreement by several means such as
memorandum of understanding (MOU), Letter of intent etc.
Once
contract received from the client the final list will be sent to the Placement
& Recruitment department for the issuance of the appointment of the
personnel coordinating with Human Resource and General Affairs Department.
2.7.2 Responsibility

2.8 Coordination
of delivery
2.8.1 Process overview
To
ensure coordination of the delivery by means of replication requests done by
various personnel.
2.8.2 Replication
Replication is required if project/product needs to be
delivered by physical media as per contractual requirements. In such case, project leader raises
replication request and gets it approved by head-development.
Project leader verifies the correctness of replication and
arranges for delivery of the product/project. In case electronic media delivers
product/project, replication is not necessary.
2.8.3 Release and
delivery
Project leader prepares release note. SQA manager verifies
whether the items being released have been tested and found to be meeting the
requirements. Head-development
authorizes release of the product/project.
Ø Product/project
is released to the customer by marketing department along with a release note.
Ø In case of
delivery through electronic means, release note is sent as a mail.
Ø Acknowledgement
from the customer is obtained for receipt of the product/project.
2.8.4 Placement and
Consulting
Once
the contract is received from the client/customer, the marketing personnel
co-ordinate with customer/client to obtain necessary documents for the visa
process. All the required documents are handed over to Placement
& Recruitment department to process the visa for selected candidates.
Marketing personnel intimate to the client about arrival of the candidates.
Candidates are sent to the clients place after the orientation program
completed by the Human Resource and General Affairs department.

2.9 Coordination
of customer complaints
2.9.1 Process overview
Purpose is to establish and maintain a process for handling
customer complaints, attend to complaints received from customers and provide
timely solution to the satisfaction of the customers. This process covers
complaints received from customers after a sign-off in case of software
development projects and/or those received in course of executing of projects.
2.9.2 Receipt of customer
complaints
Marketing
department is responsible for coordinating with the customer complaints. Complaints may be received by any one of the
following modes—letter, email, fax, telephone or personal. If the complaint is received by anyone other
than the contact person, the receiver passes on the details immediately to the
contact person.
2.9.3 Action on receipt
Marketing department receives and registers all complaints
in a customer compliant register form, by giving a complaint ID. The complaint
ID comprises the name of the customer, followed by the name of the project,
followed by a number starting from 01 to 99.
For example, the first complaint received from ABC Company on XYZ
project is given the ID ABC/XYZ/01 and so on. Each complaint is registered in
separate forms.
2.9.4 Action on
complaints
Marketing department will intimate to the concerned project
manager, Project manager is responsible to
ensure that the complaint is attended to immediately. The following actions are taken:
Ø All complaints received
are immediately acknowledged. While acknowledging, the complaints registration
number is communicated for reference to the customer.
Ø In case where
the complaint can be resolved, without any delay, (say, within a day from the
receipt of the complaint), the step mentioned above may be omitted and solution
can be provided.
Ø Where
resolving the complaint is likely to take time, and interim reply is sent
within 24 hours of the receipt of the complaint, explaining, in brief, action
being taken and indicating the likely time frame by which the complaint can be
resolved.
Ø Where
resolving a complaint is likely to take considerable time, (say, more than two
weeks), project manager keeps the customer apprised of the reasons thereof and
progress being made.
2.9.5 Problem resolution
Project manager assigns a person to resolve the problem. The
following actions are needed towards problem resolution:
Ø Investigate
and identify the cause of the problem.
Ø
Identify solution to the problem.
Ø Implement the
solution and verify the solution by testing.
Ø Inform the
customer of the solution to the problem reported.
Ø Quality
procedures and configuration management procedures are invoked while solving
customer complaints and making necessary changes to the products/project.
Ø Customer
complaints and the solutions provided become input to quality procedure,
corrective and preventive action procedure.
2.9.6 Problem closure
Once the complaint is resolved satisfactorily, the
customer complaint registration form is closed. A copy of the completed
customer complaint registration form is sent to the SQA department.
SQA department compiles statistics of the status of
complaints and present it to the management review committee during the review
meetings. The statistics are presented as per quality record format monthly
report on customer complaints.

2.9.9 Placement and
Consulting
Purpose is to establish and maintain a process for attending
and handling customer complaints, provide timely solutions to the satisfaction
of the customers. The complaints received from customers after a sign-off in
case of placement for those received in course of consultancy execution.
2.9.10 Action on complaints and Resolution
Marketing
personnel is responsible to ensure that the complaint is attended to
immediately. All
complaints received are
immediately acknowledged. In case client is not satisfied with candidate
performance action will be taken based on the agreement of Inooga
Solutions with the client.
2.9.11 Measurement

2.10 Customer
feedback
2.10.1 Process overview
On
successful completion of a project/product or if the project duration is more
than 6 months, PM/authorized person analyzes the case and estimates the
customer satisfaction levels. The customer satisfaction level is
estimated based on the following data:
PM/BDM/Authorized
person sends a customer satisfaction questionnaire form to the customer to
obtain feedback of the customer on various service quality parameters.
Both the
customer satisfaction survey questionnaire analysis and customer satisfaction
index are computed upon the receipt of the filled in customer satisfaction
survey questionnaire form from the customer and suitable corrective &
preventive actions are taken wherever appropriate.
As and when a
customer complaint or commendation is received, the same is updated in the
customer feedback log and suitable corrective and preventive actions are taken
wherever appropriate.
Placement and Consulting
Marketing
personnel on successfully placing the resource as per the contractual terms and
conditions analyze the case and estimate the customer satisfaction levels.
2.10.2 Responsibilities
Obtaining customer feedback – PM/Marketing personnel.
Review of the feedback and initiating corrective and
preventive actions.
